WALES PUJA COMMITTEE
THE CONSTITUTION


1.OBJECTIVES

The Charity's Objects are the advancement of the Hindu religion by such means as the Trustees shall from time to time determine.

2.MEMBERSHIP AND SUBSCRIPTION

Full membership of the committee shall be open to any Hindu person of 18 years and above Who is interested in work of the committee and have paid following subscription.

2.1 Any individual donating £5.00 or more in any functions (Except DIWALI TICKETS) will be a member for that year (till next Durga Puja). It will be period of 12 months starting from Durga Puja to Durga Puja. Family membership will be only for immediate family members (i.e. spouse and children) and would not involve any extra contribution.

2.2 Any Member will be entiltled to propose or second a member's name for executive committee as long as there is a vacancy (announced in AGM) as long as the person proposed is a member for more then a year. Final decision of membership to executive committee will be taken in the meeting of executive committee members and communicated to the nominee within a short period of nomination.

2.3 Anyone interested in this committee's activity and wishing to support but a non-Hindu can be an associate member and will be exempted from membership fee but would not have the voting rights.

2.4 To Become an office bearer one must be a member of the executive committee for at least a year although executive committee can co-opt members as office bearer in the exceptional circumstances.

2.5 Total number of Executive committee members increased from 30 to 35.

2.6 Any Honorary membership have to be on request from executive committee members of at least 15 years duration and individual request would be considered only in AGM and have to approved by Executive committee.

3.DISMISSAL OF MEMBERSHIP

3.1 The name of a member can be removed in a special general meeting if in view of the executive committee the member concerned has acted to the detriment of the organisation.


4.LIST OF MEMBERS

This will be maintained and updated by Secretary in co-operation with members and should be revised as far as possible during festival occasions and annual general meetings.

5.THE EXECUTIVE COMMITTEE

5.1 Total number of members in the excutive committee would be 35.

5.2 Number of vacancy in the executive committee will be announced in every AGM and nomination will be invited from members.

5.3 The Executive committee will elect office bearers by secret ballot every year and the person concerned for nomination for any office bearer's post has to agree in advance and election would be conducted by nominated Election officer for that year. Election of the office bearers will be for one calendar year and any one person can only be re-elected for one more year consecutively except in circumstances where there is no nomination for the post and post holder agrees to continue for one more year..

5.4 Any member joining Executive Committee should be a paid up member at least for a year.

5.5 Executive Committee can co-opt any regular member in the committee for a vacant place or otherwise (maximum of two) if needed for one year only at a time.

5.6 Any Executive Committee member who has failed to attend a committee meeting consecutively three times without justified reasons can be considered for removal from the committee after letter from Secretary asking their intention.

5.7 Executive committee will meet at least five times a year and any other times as needed, any such meetings will need seven members present for a valid quorum.

6.THE OFFICE BEARERS

The Executive Committee other than members will consist of following office bearers:
  • A Chairperson
  • One Vice-Chairpersons
  • One Secretary
  • One Treasurer
  • Two Entertainment and publicity officers
  • Two Catering Officers


6.1 Chairperson: He or She will preside over all the executive committee meetings and officially represent the organisation to outside bodies or engagements.

6.2 Vice-Chairperson: will assist the chairperson in all activities of the organisation and one of them will preside and act as chairperson in his or her absence.

6.3 Secretary: they will be responsible for day to day running and co-ordinating all activities within the organisation and one of them will be responsible for the correspondences with the members and informing members about meetings and other activities.

6.4 Treasurer: will be responsible for keeping the accounts and for financial affairs of the organisation. One of them will present and keep records of all income and expenses of the organisation and any bank account will run in joint names of the treasurers or one treasurer and chairperson as convenient. Treasurers will be responsible for producing annual financial reports of the organisation that will be audited by an independent observer.

6.5 Entertainment and Publicity officers: They will be responsible for organisation of cultural and public relation activities and promotion of the organisations' ideas and principles amongst local community.

6.6 Catering Officers: They will be responsible for the arrangements of refreshments for all the functions and social occasions as required. To become Office Bearer one has to an Executive Committee Member for at least a year.
